The whistleblowing channel is an electronic reporting service that is intended for use by our partners, customers, employees, and other actors.
Via the whistleblowing channel, we provide the opportunity to report on any observed or suspected misconduct or violations of our Code of Conduct in a safe and confidential manner. This will provide us with the opportunity to remedy, prevent, or rectify any inappropriate behavior or misconduct.
With the system, we want to promote adherence to the law, our Code of Conduct, and good business practices as well as conduct that is in line with our values and guidelines.
When is it preferable to file a report via this channel?
The whistleblowing channel enables you to file a report on violations covered by the Whistleblower Protection Act and any suspected misconduct related to Insta’s operations. We always encourage you to first contact the manager or representative for the matter being reported.
The whistleblower must be convinced that the facts in their report are accurate, and they must always act honestly and in good faith. Accusations must not be put forward with malicious intent or when they are known to be unfounded. Willfully submitting false reports in the service may lead to legal action.
We hope that the whistleblower will primarily use their own name when filing the report. The report can also be submitted anonymously.
Processing of the reports
The whistleblower is protected against retaliation for reports pursuant to the Whistleblower Protection Act. The general requirement for whistleblower protection is that, at the time of filing the report, the whistleblower has a justified reason to believe that the information on the misconduct is correct and that the information is covered by the Whistleblower Protection Act’s area of application.
All of the reports are processed confidentially regardless of whether they are covered by the Whistleblower Protection Act’s area of application.
Reports are handled by persons trained for the task appointed by Insta. If necessary, the handlers can use the experts needed to clarify the matter.
After submitting a report, the whistleblower will receive a personal code that they can use to follow the progress of the report and to answer any possible additional questions. Please store the code.
The whistleblower will receive a notice of receipt within seven days of receiving the report. Within three months from sending the notice of receipt, the whistleblower will be informed about which actions will be taken on the basis of the report.
All reports are processed confidentially while also ensuring the privacy protection of the whistleblower and the other parties. The obligations under the data protection legislation will be followed during the processing of personal data.
The whistleblowing channel is common to the Insta Group (Insta Group Oy and its subsidiaries), and a report may be submitted concerning a group company.
